Charge
The Shelving Advisory Group shall be composed of the shelving supervisors from each library in the University Library system plus the supervisors from Government Information Resources and Periodicals/Microforms in Alderman. The first Coordinator, acting in a job-share capacity, shall be chosen by Library Administration from among applicants for the position. The position shall rotate thereafter among the members of the Group per election by the group on an annual basis. The Library Administration shall appoint a faculty manager to meet with and advise the group ex officio.
The Group shall meet at least quarterly. A request for agenda items shall be sent to the Group once a month by the Coordinator; if there are no items to discuss, no meeting is required unless it is a quarterly meeting.
The Group is charged to
- monitor the performance of each library, ensuring that the goals of 4 hour
turnaround with 98% accuracy are met
- coordinate collection and tabulation of shelving data; maintain databases of
shelving data, updating databases and structure as new software becomes available;
create and produce reports for Library Administration
- ensure compliance with standard shelving procedures
- conduct process improvement analysis on a regular basis and share ideas about
shelving
- coordinate student shelver training including: call numbers, preservation,
shelving process, work standards, customer service; coordinate data entry and
student supervisor training; train new stacks supervisors in program as necessary
- coordinate library-wide goals with local needs
- manage the collection of sample statistics twice each year from the Science
Satellites, Music, and Education
The Coordinator shall engage in a staff share-type arrangement for the duration of his/her one year (renewable) appointment. Additional expectations should be accommodated in the Coordinator’s performance plan. Adjustments should be made in local job assignments to accommodate the job-share. The Coordinator shall report Group activities and issues to Jane Walker.
The Coordinator shall be responsible for:
- scheduling Group meetings
- calling for agenda items
- developing a yearly time-line for activities (including collection of sample data)
and ensuring that the Group adheres to it
- with the assistance of the Group, coordinating the training of shelvers and student
supervisors
- with the assistance of the Group, monitoring the performance of each library;
monitoring the speed and accuracy of shelvers ensuring that the goals of 4 hour
turnaround with 98% accuracy are met
- with the assistance of the Group, coordinating the collection and tabulation of
shelving data
- with the assistance of the Group, coordinating collection of sample data
twice-yearly from the smaller libraries
- maintaining the databases of shelving data (Excel and Access)
- producing reports as requested
- serving as liaison to the Circulation Coordinating Committee
